FAQ - How do I make sure that people see and edit only what they are supposed to see and edit?

 

We have a handy little Excel template (email RosterCoster@gmail.com for a copy) that you can sketch all this into when you are setting up the system for the first time.

 

 

The FAQ on how to fill in this template reads as follows (thank you to Danni Tran at Berry Street for assistance in drafting this text):

  • Works In – Units listed here against my name means that I "see but not alter" shifts I'm booked in to work in those units*, and to "see AND alter" I'm available "shifts" and I'm unavailable "shifts" (n.b. a single unavailable "shift" can last for weeks or months at a time, allowing a staff member to, say, go overseas for a holiday, and not get rung).

  • Edits Rosters For – Units listed here against my name are the ones that I can "see AND alter" all types of shifts for all staff in those units.

  • View Rosters For – Units listed here against my name are the ones that I can "see but not alter", with respect to all types of shifts for all staff in those units.
Features!
  • A single manager can be Edits Rosters For units 1, 2 and 3, and View Rosters For units 4, 5 and 6

  • A single supervisor (or even staff member who has delegation to "shift replace" can be both Works In and Edits Rosters For)

  • Corporate managers (for example Finance Managers) will tend to be View Rosters For all units.

There are many other combinations, but rather than list them all here, you will see that once tou start using the tool, it becomes pretty obvious how to switch managers and staff on for different units, and for different purposes. As with all well set up systems, it's usually more intuitive when you are using the system, than when you are reading about it.
