Introduction

Please accept this as a standard form quotation for the supply, implementation and support of RosterCoster (Excel-based version), a handy tool for drafting and costing roster options and, for those organisations that have www.RosterCoster.com, for converting draft rosters into live rosters (automated data exchange).

Please note that your organisation may well go significantly beyond drafting and costing rosters, and that we welcome enquiries relating to components of end-end rostering that are currently out of scope for this quotation, for example:

  • Online shift replacement at www.RosterCoster.com.
  • Rostering planning and review, as typically relates to budget forecasting, allocation-setting and comprehensive performance management; and
  • Data exchange with other systems that you may have purchased prior to contacting us (for example, eTimesheets loaded into your payroll system) but which are not well setup for rostering.

  • RosterCoster (Excel-based version).

Prices and budgets

Prices current as at 22 February 2011 (2010/11 rates).
 

Guide only (the amount of product you require must be checked before a final quotation is possible) for use in 10 or less* accommodation settings:

  • $82.50 per month licence for as long as you use the software.
  • $1990 for setup for local Award and conditions, including onsite validation against your own costing systems, and implementation, including a training program for your project team and senior managers (training for staff is an optional extra; we note that many organisation opt to carry this out in-house).
  • Hourly rate for additional enhancements and consulting (professional consulting is at $120 per hour, other types of product by negotiation).


*Costs for larger accommodation services / regional disability accommodation services are as follows:

  • For 150 accom. settings, $198 per month / $2450 setup and implementation.
  • For between 10 and 150 accom. settings, draw a straight line between the low and high prices.

150 Scope

The scope includes the following tailored, implemented and supported:

  • RosterCoster (Excel-based version).


We note that this may be ‘enough’ for some organisations, and immediately delivers significant benefits in roster planning.

Having made this point, we will now note for the sake of comprehensiveness some of the many and varied ‘other aspects’ of end-to-end rostering, which are out-of-scope, but which can be included by request. For example:

  • Online shift management at www.RosterCoster.com.
  • Rostering planning and review, as typically relates to budget forecasting, allocation-setting and performance management; and
  • Staff performance in the context of the organisation’s mission, values and goals.


Also, we note that like most good tools, RosterCoster.xls is able to data exchange with most other modern platforms. This can produce powerful results above and beyond the standard reports we offer. This data exchange is out of scope, but can be included by negotiation, depending on your local requirements. For example:

  • Data exchange with other systems within your organisation (for example, your payroll and finance system);
  • Data exchange with www.RosterCoster.com (online shift management); and
  • Data exchange with EMSOnline, a generic (that is, it goes beyond rostering) ‘app hosting’ platform that we have been supplying to the Department of Human Services since 2003, and that we now supply to over 50 organisations in the funded sector.

The methodology of the supply, rollout and support would relate to your local requirements, but can be based on our established practices. This is covered as a matter of course in initial and ongoing project team meetings.

The change management relating to the rollout and support would relate to your local requirements, but can be based on our established practices. This is covered as a matter of course in initial and ongoing project team meetings.

180 Milestones and timelines

The milestones and timelines for the supply, rollout and support of the software relate to your local requirements, and are managed by your and our project manager in partnership, with support from our online project management software EMSProjects. This is covered as a matter of course in initial and ongoing project team meetings.

This cost driver is fully covered within the scope of the items “Deliverables” and “Prices and budget".

We note that help desk is confined to resolution of technical errors only, and that help desk requests relating to username and password access would be forwarded to you (in all our past rollouts, organisations have preferred to take this on, and not have us involved – we cannot know who should and should not have access at any given point in time).

 

If you have elected to cover staff training and orientation after our initial training of your project team and senior managers, then help desk calls relating to this would also be forwarded to you, at your request.

250 Cost driver: implementation, orientation, training

Most organisations elect to cover staff training and orientation under the ‘train the trainer’ model, after our initial training of your project team and senior managers. However, we are available to supply this training for you, if you wish.

300 Cost driver: app testing

This cost driver would only be triggered in the event that you request additional functionality to be built into the software. Having said that, we note that extensive tailoring has previously been added in via adaptations for the Department of Human Services in particular, over a period of some 18 years, and we anticipate that all or most of your needs are already covered.

The current document, along with any standard form documents you may have for vendors, would also be part of the contract (N.b. we note that for convenience and simplicity, many organisations leave standard form documents that they and we produce ‘as is’ and leave documents such as the current layout to dot point where we will depart from the standard forms).

910 Risk mgt: project control

Project control is a partnership between your and our project manager, and we note that we control all aspects of the supply, implementation and support at our end via our project management software EMSProjects, which, among other things, accepts logged requests from users via www.RosterCoster.com.

All project workers with access to confidential information sign a standard confidentiality agreement each year for DHS, and a separate version for the funded sector.

 

Also, every time a project worker enters EMSProjects, our project management software, the person has access to all relevant confidentiality and privacy policies, processes and updates prior to proceeding.
