Edit The Permissions for a Staff Member

 
RosterCoster: edit existing membership or house/unit permissions for a staff member
 
 
Staff members can have variable permissions at different houses or units.  For example, a staff member may be a supervisor at one unit and a casual worker at another.
 
To this end, there is an extra layer of permission built into the tool. As well as the main permission you see in the Staff Details page, there is the ability to assign different permissions at the membership level inside the selected staff details.
 
When staff are originally set up, all the units you give them permission to inherit the permission you then set and save in the Staff Details page below.
 
If you then add membership to other houses or units, the tool does not presume to know what permissions you want them to have.
 
Follow the instruction below to add and finalise new permissions.
 
 
STEP 1: Navigate to Staff Details
 
This section assumes you have navigated to the Staff Details page.
 

 
STEP 2: Edit the Staff Member 
 
To Edit an existing staff member, click on the Blue number next to their name in the Staff Details page, then follow the instructions below for editing membership.
 
 
STEP 3: Edit the Membership for the Staff Member 
 

After you click on the Blue number, the page will refresh, a range of Icons will show, and a memberships section will appear to the right.

 

 
Click on the Membership Icon:
 
 
A popup will appear containing a Membership Heirarchy of check boxes. (Right click on a parent node to see autofill options).
Click on the check boxes to assign the staff member to their house or setting, for example, tick Admissions and R.T.W to give the user permissions to see details for these units, then scroll to the bottom of the page and click OK.
 
 
 
 
The membership box will remain open so that you can edit the permission you just added. You will see the units you just selected have no specific roles selected (roles are black coloured squares in the grid to the right of the unit, you can hover on a square to see which role it relates to.)
 
In the example below, click on the tiny grey button to the right of the grids with no permission to add specific permissions.
 
 
 
Select the appropriate permissions in the next popup then click save.
 
 
 
 
If there are too many new permissions to do each one manually, you can reset them all at once via the Staff Details Page.
 
To do this, return to the staff details page,
 
You will need to modify the permissions of the staff member concerned to trigger a reset, you will then need to repeat the process to return the permissions to the way they were in most cases.
 
For example, click 'Time View All' (which is not yet used, for the staff member and save the page. Find the staff member again and untick it then resave. All permissions will be reset for individual units.)

 
The following permissions are not relevant to this application at the moment: Time View All, Time Approver, Time Admin, Resource Booking and Resource Booking Admin. Selecting them will have no effect.
Different Menu items and page access are available to different permission types.
DON'T FORGET TO CLICK SAVE AT THE TOP OF THE PAGE AFTER CHANGING PERMISSIONS, YOU MAY NEED TO SCROLL BACK TO THE TOP.
Permissions outline:
There are six Permission in use:
Roster View: Allows users a Read Only View of Availability and All Roster pages.
Roster Supervisor: Allows access to add, edit and other functions of shift management, when combined with Roster View.
Time Self: Allows access to the program itself as well as to the Users own roster sheet
Staff Admin: Allows access to the Staff Details page to add and edit Staff Information and permissions.
Roster Admin: Allows access, in combination with Roster View, to all pages and reports other than Staff Details, with permissions to override Supervisor decisions and warnings, including unlocking shifts previously locked by supervisors, or locking shifts so that supervisors can't change them.
Not Rostered: Prevents the Staff Member from showing in the Rosters
User Types outline:
The five examples above show the five most common types of Login Access. Any combination of permissions is allowed.
  • Basic User:  Maurice Allans has only Time Self checked. Maurice can only Login to his own roster and add Available and Unavailable Time Segments. (All users must have Time Self ticked to be able to access the program.)
  • Roster Supervisor:  Dave Anando also has Roster Supervisor and Roster View checked. Roster View allows Dave to see the main Roster Pages, while Roster Supervisor allows him to Add or Modify any unlocked shifts he has permission to see.
  • Roster Admin:  Emma Anerty has Roster Admin checked, in conjunction with Roster View, giving her priority access to all pages in the application other than Staff Details, as well as override permissions outlined above. It is common for Admin Staff to have the Not Rostered Permission checked as well so that they don't show up in every roster page.
  • Staff Admin:  Patrick Arms has Staff Admin checked, allowing him access to Staff Details, as well as Time Self to access the program itself and Not Rostered as he does not work rostered shifts.
  • Roster View:  Carmel Bahim has Roster View checked, allowing her Read Only access the main roster pages. 

 

Roster Admin:  Emma Anerty has Roster Admin checked, in conjunction with Roster View, giving her priority access to all pages in the application other than Staff Details, as well as override permissions outlined above. It is common for Admin Staff to have the Not Rostered Permission checked as well so that they don't show up in every roster page.
