User Manual for Staff

User Manual for 'Staff': RosterCoster

Audience: 'Staff' (i.e. staff with 'Staff Level Access' to RosterCoster.com)
Key Competencies: Login to RosterCoster.com and then log your availability for shifts

 
STEP 1: Open your web browser
 
In other words, ‘get into the internet’ by, for example, clicking a link that looks like this:
 
 
STEP 2: Visit www.rostercoster.com
 
In other words, type the text ‘www.rostercoster.com’ in the address bar as shown below, and then press ENTER on your keyboard:
 
 
STEP 3: Enter your login name and password
 
Enter your login name and password near the top right hand corner of the screen, and then press the SIGN IN button. See below:
 
 
STEP 4: Log your availability for a shift into the ‘shift grid’ displayed
 
For the following example, you want to log into the ‘shift grid’ below that you are available for work all day on Tuesday, 16 October 2008:
 
 
Using the left button of your mouse, ‘paint’ a line between (approximately) 7:00 AM and 7:00 PM. In other words, ‘click down’ and HOLD the button down near 07:00 (the grid below is in ‘army time’, that is, 24 hour time), then DRAG your way across to 19:00, as follows:
 
 
STEP 5: A ‘dialogue box' appears on the screen every time you paint a line. This is to confirm the availability details that you just painted.
 
The following dialogue box appears on your screen. It contains, among other things, the start and finish times of the line you just painted:
 
 
In the above example, my attempt to paint a line from 7:00 AM to 7:00 PM has been slightly unsuccessful, and I’ve painted all the way to 8:15 PM. To ‘fix’ this, I can either type 7:00 over the top of the '8:15', or click on the little 'clock diagram' to the right of the '8:15'.
 
The rest of the dialogue box was not displayed above, but it looks like the following:
 
 
You now need to check (and adjust if necessary) the following:
  • Type: Select ‘Unavailable’ or ‘Available…’
You may also CHOOSE to type text into the following:
  • Notes: This box is 'free text', and you can type, for example, "unavailable due to wedding". PLEASE NOTE: THE INFORMATION YOU TYPE IN THIS BOX CAN AND WILL BE READ BY OTHERS. Your Code of Conduct, Computer Use Guidelines and other local rules relating to the posting of appropriate material online applies.
 
Press Apply/Close (or Apply/New - the latter keeps the dialogue box open ready for the next shift, for your convenience).
 
Take 5 on Colours!
 
At this point in time, you may have noticed that the colour of the lines you are painting depend on the 'Type' of line. You may also have noticed that you have access to paint only two 'Types', namely, 'AVAILABLE' and 'UNAVAILABLE', but that your supervisors and others are able to paint other 'Types' on your behalf. 
 
A full list of colours used within the system follows: 
  • A BLUE line means that a staff member is AVAILABLE
  • A BLACK line means that a staff is UNAVAILABLE
  • A WHITE line means that a staff member must turn up for duty
  • A YELLOW line means 'Off Unfilled...' (the fact that this shift is unfilled is your supervisor's problem) 
  • A GREY line means 'Off Filled...'
OK, back to the User Manual now...
 
STEP 6: Confirm your personal details
 
Use the following menu item near the top of the screen to change your password to something more convenient, and to confirm personal details such as your phone numbers (if your phone numbers are wrong, you won’t get a call).
 
Important: don't forget to press SAVE after you have finished changing your password or your personal details!
 
Please note that when you click into any of the above ‘User Options’, you will be taken to a different screen to confirm your personal details. To return to your ‘shift grid’, simply select ‘My Roster’ under the 'Rosters' menu item as shown below (in the example below, the user has visited the ‘Set Password’ screen, and is about to return to the ‘shift grid’).
 
STEP 7: Get Help (if you need it)
 
There are help options online, for example, see the ‘Help’ menu item at the top of your screen (where you’ll find a copy of this document, for a start).
 
However, if you are still ‘stuck’, then your first port of call is your local contact as seen on the home page at www.rostercoster.com.
 
 
STEP 8: Log Off
 
There are a number of ways to do this, but the easiest way is to press the ‘X’ in the top right hand corner of the screen, as shown below:
