This quotation assumes you already possess our free-of-charge app-hosting platform EMSOnline. If you do not have this platform, and want it, please contact any of the managers mentioned on this page.

 

Please accept this as a standard form quotation for the supply, implementation, support  and licence regarding a new app created for your EMSOnline platform.

We note that apps at EMSOnline benefit from significant leverage and economy of scale benefits arising from, for example:

  • Other apps hosted at EMSOnline

  • The EMSOnline Data Control Centre, which controls location, staff and client details and other lists on behalf of all apps

  • The EMSOnline App Creation Wizard (this is employed as the 'generic app' in cases where a generic app does not exist, for example, where an app design is an original design by the customer)

Deliverables

The following software supplied on licence, implemented and supported:

  • A new app added to your EMSOnline platform for use in [insert number] accommodation settings

Minimum implementation steps regarding 'design': we supply you with our generic app in 'standalone Excel file format', you return that file with any changes you require (as long as the changes are not substantial, nil extra cost), we convert that file into an app at EMSOnline.

Prices and budgets

Prices current as at 22 February 2011 (2010/11 rates). In all cases, prices quoted by Jandapac T/A RosterCoster include GST. Prices are indexed on July 1 each year tied to the rate that the Department of Human Services Victoria indexes its prices for the funded sector (our benchmark as the most relevant index method).

 

The amount of 'product' your may need above and beyond a standard generic 'app package' needs to be confirmed (office use only: log of individual terms agreed with specific organisations) before a final quotation is possible:

  • Additional 'product' is available at your request at an hourly rate of $120, for example, tailoring of the software to your local needs, extended training and professional consulting
  • In many cases, discounts apply (20% discount on licence only for a second purchased app, and 40% for all purchased apps after that. Also, when a new app is released, we typically offer discount rates for the first few organisations that take it on.)

    This standard form quotation is for customers requiring the following software supplied on licence, implemented and supported:

    • A new app added to your EMSOnline platform.

    130 Background

    Typically, the projects and works that buildup to the current project would include:

    • Installation of our EMSOnline platform and selected apps.
    • Installation of certain generic apps at EMSOnline (supplied free on the understanding that of the organisation requires tailoring of these free apps for local needs, then this would be at our hourly rate).

    150 Scope

    The scope is the following supplied on licence, implemented, supported:

    • A new app added to your EMSOnline platform.

    160 Methodology

    The methodology for the supply, implementation and maintenance of the app depends on your local requirements, but as a minimum, we recommend:
    • Claude or Christine for us to supply you with a 'standalone Excel file version' of your app (the "concept design"), for you to make any adjustments required, and for Claude or Christine to arrange for your changes to be reflected in the generic app bolted onto EMSOnline.

    170 Change management

    We are on hand to provide advice on approaches taken by other organisations, however, we recommend that this item is most appropriately and efficiently managed by you.

    180 Milestones and timelines

    The milestones and timelines for the supply, rollout and support of the software relate to your local requirements, and are managed by your and our project manager in partnership, with support from our online project management software EMSProjects. This is covered as a matter of course in initial and ongoing project team meetings.

    We are on hand to provide advice on approaches taken by other organisations, however, we recommend that this item is most appropriately and efficiently managed by you.

    This cost driver is fully covered within the scope of the items “Deliverables” and “Prices and budget".

     

    We note that help desk is confined to resolution of technical errors only, and that help desk requests relating to username and password access would be forwarded to you (in all our past rollouts, organisations have preferred to take this on, and not have us involved – we cannot know who should and should not have access at any given point in time).

     

    If you have elected to cover staff training and orientation after our initial training of your project team and senior managers, then help desk calls relating to this would also be forwarded to you, at your request.

     

    From time to time we opt to support individual staff in your organisation, however, as a general approach, we prefer your staff direct issues to a central 'EMSOnline expert', and for that person to then contact us if the issue could not be resolved within the organisation.

    250 Cost driver: implementation, orientation, training

    Most organisations elect to cover staff training and orientation under the ‘train the trainer’ model, after our initial training of your project team and senior managers. However, we are available to supply this training for you, if you wish.

    300 Cost driver: app testing

    This cost driver would only be triggered in the event that you request additional functionality to be built into the software. Having said that, we note that extensive tailoring has previously been added in via adaptations for the Department of Human Services and others over a period of some 10 years, and we anticipate that all or most of your needs are already covered.

    This cost driver would only be triggered in the event that you request additional consulting or training support beyond the software.

    The standard terms and conditions for the app are the same as exist for the EMSOnline platform itself, see the home page of EMSOnline or at www.RosterCoster.com.

    905 Risk mgt: contracting and intellectual property

    Intellectual property of EMSOnline and generic apps rests with Jandapac Pty Ltd T/A RosterCoster.

     

    Intellectual property of the design of apps designed by you, and converted into apps by us via our app creation wizard, rests with you (though the app creation wizard itself is owned by us).

     

    The current document, along with any standard form documents you may have for vendors, would also be part of the contract (N.b. we note that for convenience and simplicity, many organisations leave standard form documents that they and we produce ‘as is’ and leave documents such as the current layout to dot point where we will depart from the standard forms).

    910 Risk mgt: project control

    Project control is a partnership between your and our project manager, and we note that we control all aspects of the supply, implementation and support at our end via our project management software EMSProjects, which, among other things, accepts logged requests from users via www.RosterCoster.com.

    Our insurances are public liability $5m, product liability $5m, professional indemnity $2m.

    All project workers with access to confidential information sign a standard confidentiality agreement each year for DHS, and a separate version for the funded sector.

     

    Also, every time a project worker enters EMSProjects, our project management software, the person has access to all relevant confidentiality and privacy policies, processes and updates prior to proceeding.
