Creating workflows what are the design rules

What are the workflow business rules for tools hosted at EMSOnline?
 

Preamble

 

The development of worflows carries with it significant risks. To minimise these risks, steps we take include:

  • Assessment of the sum total impact of all workflows: the volume and quality of workflows arising from a single tool cannot be considered reasonable except in the context of the sum-total incoming for a user (for example, tools should work together to stagger their workflows). 

  • Clearly tagging all workflows with (a) EMSOnline as the source of the email; (b) the title of the hosted tool; and (c) the project manager authorising that workflow. 

  • Consistency in look and feel of workflow emails: all workflow emails should have exactly the same layout, with variety possible only in the body text.

  • As far as is possible, users should be able to click as directly as possible into the screen that is the subject of interest. PLEASE NOTE: this is a matter of continuous improvement and needs to be set up tool-by-tool, and the fall back position is that users are taken to the home page of EMSOnline to then navigate.

  • Backup reminders for users (taking into account the need to minimise volume at all costs) who ignore emails.

Instructions

 

The minimum standard for layouts of automated emails is currently as follows:

  • Title = "EMSOnline Workflow [APP NAME: authorised JOHN DOE] - FOR ACTION " & vbCr & vbCr & _ YourText_Title

  • Body Text = YourText_Body & vbCr & vbCr & vbCr & vbCr & _
    "This email was generated by EMSOnline
    . If you should not be the recipient of this email, or have any feedback about how these workflow emails can be continuously improved, please reply to the sender and / or forward the email to ROSTERCOSTER@dhs.vic.gov.au. Thank you."
